zenRecruiting.ai is a Swiss recruiting platform. This page explains what personal data we process, why, for how long, and how you can get a copy of it or have it deleted.

Your rights

You can request a copy of your data, correct it, have it deleted, restrict or object to processing, and ask for it in a portable format. Use the self-serve page below — it verifies your email address and acts immediately. You can also complain to your national data protection authority, or in Switzerland to the FDPIC.

Who is responsible for your data

When a company uses zenRecruiting.ai to run a hiring process, that company is the controller of the candidate data it collects, and we act as its processor. For our own website visitors and account holders, we are the controller. Both roles are covered by the EU GDPR and the revised Swiss Federal Act on Data Protection (revDSG).

What we process

  • Candidates: name, email, phone, city and country, LinkedIn URL, CV and cover letter, application answers, interview recordings and transcripts where an AI interview was used, and AI-generated fit scores and reasoning.
  • Account holders: name, email, company details, job postings and pipeline activity.
  • Website visitors: standard analytics (Google Analytics, PostHog) and advertising pixels (Meta, X). These are described in the cookie section below.

Why we process it

To run the hiring process the candidate applied to: storing the application, ranking it against the job description, communicating about it, and scheduling interviews. For account holders, to provide and bill the service. Legal basis is the contract with the account holder, and for candidates the legitimate interest of the employer in filling a role, or consent where the application was unsolicited.

Automated processing and AI

We use AI to score and rank applications against a job description, and optionally to conduct a first-round screening interview. These scores support a human decision — they do not by themselves reject anyone. You can ask for a human review of any AI-assisted assessment by writing to privacy@zenrecruiting.ai. Application text and CVs are sent to our AI sub-processors for this purpose.

Sub-processors

Amazon Web Services (hosting and storage, eu-central-1, Frankfurt), OpenAI and Anthropic (application scoring and text generation), Google (Gemini, AI interview analysis), Resend (transactional email), Stripe (payments), Google Analytics and PostHog (product analytics).

How long we keep it

Candidate applications are retained for as long as the employer keeps the job posting and its pipeline, and are deleted when the employer deletes them or when you ask us to. Account data is kept for the life of the account plus 90 days. Billing records are kept for 10 years as Swiss commercial law requires. Analytics data is retained for 14 months.

International transfers

Data is hosted in the EU (Frankfurt). Some sub-processors are US-based; those transfers rely on the EU Standard Contractual Clauses and the Swiss addendum.

Cookies and tracking

We set a language preference cookie (NEXT_LOCALE) and authentication cookies, which are necessary for the site to work. We also load Google Analytics, PostHog, the Meta pixel and the X pixel for analytics and advertising measurement. You can block these with your browser or an ad blocker without losing any functionality.
